Campus Safety and Security

Annual Security Report

Cox College complies with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act {20 USC§1092 (f)} [originally known as Title II of Public Law 101-542 of the Federal Student Right to Know and Campus Security Act of 1990]and the Drug-Free Schools policies as outlined by the federal government. The college publishes a report each year that contains three years worth of campus crime statistics and college security policy statements. The report is made available by e-mail and by hard copy to all current students and employees. Incoming students are given copies during orientation activities, and prospective students and employees are notified and given the opportunity to request documentation. The report is also posted on bulletin boards in the college. A copy of the college’s crime statistics is provided to the U.S. Department of Education yearly, and that information may be found at http://ope.ed.gov/security/.

Clery Act

In compliance with the Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act (20 USC § 1092(f)) [originally known as the Title II of Public Law 101-542 of the Federal Student Right to Know and Campus Security Act of 1990], the Security office of CoxHealth collects relevant crime statistics and establishes appropriate security policies. The Security office revises and makes available these statistics annually. In addition, the statistics are published monthly on the Web site and posted on college bulletin boards. This information is distributed to all enrolled students and employees and is made available to all prospective students. Additional information is provided to students on crime prevention, drug/alcohol abuse education and awareness, and prevention of sex offenses. Additional information related to programs and counseling services is provided through the Academic Resource Center.

Copyright Infringement

Cox College users are prohibited from distributing copyrighted materials through print, illegal downloading, via Web pages, e-mail, or peer-to-peer distribution of intellectual property. The distribution of copyrighted material from any computer, including music, games, and videos, for which users do not have the owner’s permission is a violation of federal law, the Digital Millennium Copyright Act, 1988.

The unauthorized use or distribution of copyrighted materials shall be reported to the Vice President for Academic Affairs (VPAA). Such acts may also lead to verbal or written warnings, probation, dismissal from the program or the college, or termination of employment.

Drug and Alcohol Policy

Cox College to maintain a drug-free environment for both students and employees. A copy of the CoxHealth System’s policy on drug and alcohol in the workplace is available to all students upon request. The unlawful possession, use, or distribution of a controlled substance is prohibited on all property of Cox College or CoxHealth Systems. The possession, use, or distribution of alcohol is prohibited on Cox College premises or any premises of CoxHealth Systems. The transfer, sale, or use of alcohol or illegal drugs while on Cox Health

Systems premises could result not only in disciplinary action against the individual(s) involved, but also may result in legal prosecution.

The college accepts only a high standard of professional integrity. Students are expected to remain drug free and in a suitable physical and mental condition for the learning environment. Drug screening will be performed on all students who are enrolled in the educational programs affiliated with CoxHealth Systems. Students suspected of being under the influence of drugs or alcohol will be removed from the College environment, placed on temporary suspension, and an evaluation will be done, which may include drug testing. Reasonable suspicion may be drawn from observable phenomena, abnormal conduct, and reports, information, or evidence.

Violations of the foregoing standards and policies can result in disciplinary action up to and including discharge for employees and dismissal for students and referral for prosecution. Violations of these standards by students will be considered a violation of the Student Conduct Code and may result in dismissal, probation/suspension or imposition of a lesser sanction. Sanctions may also include referrals for appropriate rehabilitation. Information on alcohol and substance abuse can be found in the Academic Resource Center.

Emergency Response and Evacuation Procedures

In an effort to provide a safe campus and pursuant to Public Law 101-542, the college provides campus safety information to each student during orientation to the college.  The student should refer to the Campus Security Reference and other security data posted on the college Web site for information about public safety, crime statistics, parking regulations and security policies and procedures at CoxHealth and the college.

The college uses a mass alert notification system designed to keep the students, faculty and staff at Cox College informed during emergencies.  Emergency communications from the college, including inclement weather announcements, will be sent as a text message/voice message and/or e-mail to those enrolled in the notification system.

Cox Health Security provides services at Cox College, Cox North and Cox South.  In an emergency, security personnel may be accessed from a phone within the college, Cox North or Cox South by dialing 333 or “0” for the switchboard operator.  Security personnel will also assist with unlocking car doors and charging batteries.  To access CoxHealth Security, call 269-3715 (Cox North) or 269-6120 (Cox South).

In an emergency on the Drury University campus, students should contact the Office of Continuing Education in C. Arch Bay Hall until 8:30 p.m. at 873-7207 or the Olin Library personnel until 12:00 midnight at 873-7338.

Emergency Procedures

It is the desire of the college to provide as safe an environment as possible for students.

Fire

Upon finding a fire in the college

  • Notify anyone in the area that a fire exists.
  • Pull the nearest fire alarm.  Fire alarms are located at every exit and at intervals along each hall.
  • Use appropriate judgment in utilizing fire extinguishers.
  • On exiting the room, close windows (if possible), close the door to the room to limit the spread of fire and smoke and evacuate the building.
  • Notify the receptionist (if possible), of the location, type and extent of the fire.

Use of fire extinguishers

All fire extinguishers are dry chemical to enable them to be used safely on any type of fire. To allow ample time to escape the area, anyone attempting to use an extinguisher should be aware that the fire should be able to be contained within 30 seconds or less. If unable to smother or extinguish the fire within this period of time, the individual should simply exit, close the door, escape the area, pull the nearest fire alarm and notify the receptionist of the exact location of the fire. Students should be aware of the location of fire extinguishers.

Evacuation of the college

  • Possible exits are clearly marked with “EXIT” signs. Maps are located by every fire alarm, as well as in strategic locations in hallways. Each map indicates two possible exits for that area.  Use the nearest exit that is not obstructed by smoke or flames.
  • Evacuate immediately and remain calm.
  • Do not return to the building for any reason after evacuation has begun.
  • Do not use the elevator.
  • Individuals in the area of the college leave by the nearest exit and assemble on Jefferson Avenue on the sidewalk area across from the college entrance.
  • Students in classes or with a group should reassemble with that group.  Faculty are responsible for identifying and reporting any absences to the individual in charge of roll call.
  • Any individual not in class or with a group at the time of evacuation should report to the individual in charge of roll call.

Tornado

The receptionist will be notified when a tornado warning is in effect and will notify occupants of the college via loudspeaker.

Proceed by the nearest stairs to the basement areas without windows.  These areas are:

  • Classroom 5
  • Hallway  outside classroom 5
  • Basement hall (keeping a safe distance from glass areas at either end of the hall)

The telephone in classroom 3 may be used for communication.

All individuals who have been evacuated to the basement will remain there until an “ALL CLEAR” has been sounded.

Family Educational Rights and Privacy Act (FERPA)

In compliance with Public Law 93-380, Family Educational Rights and Privacy Act of 1974 (FERPA) as amended, Cox College defines directory information as name, local and other addresses, local and other telephone numbers, date of birth, dates of attendance, enrollment status, high school, date of high school graduation, classification, major field of study, previous institution(s) attended, awards, honors, degree(s) conferred (including dates)  Information designated as directory information may be released unless specifically prohibited by the student in writing. Forms authorizing Cox College to withhold any or all such information are available in the Registration office.

In accordance with this federal law, the institution has adopted policies and procedures governing the confidentiality of student educational records. No individual shall have access to, nor will the institution disclose any information from a student’s educational record without the prior written consent of the student or as otherwise authorized by FERPA. Permitted exceptions under the law include disclosures to college personnel who have a legitimate educational interest; officials of other institutions in which a student seeks enrollment; representatives of agencies or organizations from which a student has received financial aid; and certain federal and state officials. Educational records are maintained in the Registration office, and copies of records are provided to advisers. Official transcripts are maintained in the Registration office and are released upon the student’s prior written request only.

Credit Hour

A credit hour is a unit of measure that gives value to the level of instruction, academic rigor, time requirements, and fulfillment of learning objectives for a course taken at Cox College. Basically, it is a proxy measure of student learning as defined by the fulfillment of learning objectives and assignments that are reasonably judged to require an amount of time at least equivalent to 45 hours per credit (combination of contact time between student and faculty and the student’s independent work). At Cox College this is commonly the standard for semester credits associated with classroom-based, conventional and accelerated coursework as well as with online instruction.

Notice of Loss of Eligibility due to Drug-Related Penalties

Note: in January 2006, this was modified to restrict its applicability to applicants who were in school and receiving federal Title IV aid when they committed their drug offenses.

The following provision was contained in subsection (r) of section 484 of the Higher Education Act of 1998 (see 20 U.S.C. 1091(r)).

(r) Suspension of eligibility for drug related offenses.-
(1) IN GENERAL- A student who has been convicted of any offense under any Federal or State law involving the possession or sale of a controlled substance shall not be eligible to receive any grant, loan, or work assistance under this title during the period beginning on the date of such conviction and ending after the interval specified in the following table:

REHABILITATION- A student whose eligibility has been suspended under paragraph (1) may resume eligibility before the end of the ineligibility period determined under such paragraph if–
(A) the student satisfactorily completes a drug rehabilitation program that–
(i) complies with such criteria as the Secretary shall prescribe in regulations for purposes of this paragraph; and
(ii) includes two unannounced drug tests; or
(B) the conviction is reversed, set aside, or otherwise rendered nugatory.

(3) DEFINITIONS- In this subsection, the term `controlled substance’ has the meaning given the term in section 102(6) of the Controlled Substances Act (21 U.S.C. 802(6)).’.

(2) EFFECTIVE DATE- The amendment made by paragraph (1), regarding suspension of eligibility for drug-related offenses, shall apply with respect to financial assistance of cover the costs of attendance for periods of enrollment beginning after the date of enactment of this Act.

Penalties Associated with Drug-Related Offenses

Springfield City Code prohibits the following acts:

Alcohol Offenses:

a)Possession by minors under 21 years of age: The possession, actual or constructive, of any beer, wine or intoxicating liquor by any person under the age of 21 years is prohibited. A violation of this section shall be punishable by a fine of not less than $500.00. (G.O. No. 5575, § 1, 7-10-2006)

b)Open containers of alcoholic beverages in motor vehicles within the passenger compartment of any motor vehicle: No person shall transport, carry, possess or have, and no driver shall permit the transporting, carrying, possessing or having, of any alcoholic beverages within the passenger area of any motor vehicle which is being operated upon a public way, except in the original container and with the seal unbroken. (Code 1981, § 3-7.8; G.O. No. 5835, § 2, 9-8-20)

c) Possession, sale or consumption of alcoholic beverages in public place. No person shall drink, sell, give away, purchase or dispense alcoholic beverages as defined in section 78-189(b) in any street, alley or other similar public place in the city, nor shall any person sell, dispense, give away, offer to sell or possess or consume any beverage or drink containing alcohol in any public park or on lands held by the city for park purposes. (G.O. No. 2892, Section 1)

d) Possession of open containers on public ways and city parking lots. No person shall transport, carry, possess or have any alcoholic beverage on a public way or city parking lot except in the original container with the seal unbroken. (Code 1981, § 26-3; G.O. No. 4583, §§ 1, 2, 2-5-1996; G.O. No. 5977, § 2, 3-26-2012)

e) Driving while intoxicated.

Missouri Statutes prohibits the following acts:

Alcohol Offenses

Any person under the age of twenty-one years, who purchases or attempts to purchase, or has in his or her possession, any intoxicating liquor as defined in section 311.020 or who is visibly in an intoxicated condition as defined in section 577.001, or has a detectable blood alcohol content of more than two-hundredths of one percent or more by weight of alcohol in such person’s blood is guilty of a misdemeanor. A first violation of this section shall be punishable by a fine not to exceed three hundred dollars. A second or subsequent violation of this section shall be punishable by imprisonment in the county jail for a term not to exceed one year and/or a fine not to exceed one thousand dollars.

Completion of substance abuse traffic offender program, persons under twenty-one years of age, required, when, standards by department of mental health:

Any court which has jurisdiction over violations of state, county or municipal laws shall enter an order, in addition to other orders authorized by law, requiring the completion of a substance abuse traffic offender program, as a part of the judgment entered in the case, for any person determined to have violated a state, county, or municipal law involving the possession or use of alcohol and who at the time of said offense was under twenty-one years of age when the court, if a juvenile court, finds that the offense was committed by such person or, if a city, county, or state court, when the person pleads guilty, or is found guilty of such offense by the court.

Any person under the age of twenty-one years who purchases or attempts to purchase, or has in his or her possession, any intoxicating liquor, or who is visibly in an intoxicated condition as defined in section 577.001, shall be deemed to have given consent to a chemical test or tests of the person’s breath, blood, saliva, or urine for the purpose of determining the alcohol or drug content of the person’s blood. The implied consent to submit to the chemical tests listed in this subsection shall be limited to not more than two such tests arising from the same arrest, incident, or charge.

Any person under 21 years of age who is convicted of any offense involving the possession or use of alcohol, committed while operating a motor vehicle, or any alcohol-related traffic offense, or upon a second conviction of any offense involving the possession or use of alcohol may be punished as follows:   1st offense:  90-Day Suspension; 2nd Offense and thereafter:  loss of his/her driver’s license for 1 year. R.S.Mo. Section 311.325. 1.

Illicit Drug Offenses

195.202. 1. Except as authorized by sections 195.005 to 195.425*, it is unlawful for any person to possess or have under his control a controlled substance.

2. Any person who violates this section with respect to any controlled substance except thirty-five grams or less of marijuana or any synthetic cannabinoid is guilty of a class C felony.

3. Any person who violates this section with respect to not more than thirty-five grams of marijuana or any synthetic cannabinoid is guilty of a class A misdemeanor.

*Section 195.425 was repealed by H.B. 1965, 2010.

A person who has been convicted of a class C or D felony may be sentenced:

(1) To pay a fine which does not exceed five thousand dollars; or

(2) If the offender has gained money or property through the commission of the crime, to pay an amount, fixed by the court, not exceeding double the amount of the offender’s gain from the commission of the crime. An individual offender may be fined not more than twenty thousand dollars under this provision.

Except as authorized by sections 195.005 to 195.425 and except as provided in section 195.222, it is unlawful for any person to distribute, deliver, manufacture, produce or attempt to distribute, deliver, manufacture or produce a controlled substance or to possess with intent to distribute, deliver, manufacture, or produce a controlled substance.

2. Any person who violates or attempts to violate this section with respect to manufacturing or production of a controlled substance of any amount except for five grams or less of marijuana in a residence where a child resides or within two thousand feet of the real property comprising a public or private elementary or public or private elementary or secondary school, public vocational school or a public or private community college, college or university, or any school bus is guilty of a class A felony.

3. Any person who violates or attempts to violate this section with respect to any controlled substance except five grams or less of marijuana is guilty of a class B felony.

4. Any person who violates this section with respect to distributing or delivering not more than five grams of marijuana is guilty of a class C felony.

4. Any person who violates this section with respect to distributing or delivering not more than five grams of marijuana is guilty of a class C felony.

A person commits the offense of distribution of a controlled substance near schools if such person violates section 195.211 by unlawfully distributing or delivering any controlled substance to a person in or on, or within two thousand feet of, the real property comprising a public or private elementary or secondary school, public vocational school, or a public or private community college, college or university or on any school bus.

2. Distribution of a controlled substance near schools is a class A felony which term shall be served without probation or parole if the court finds the defendant is a persistent drug offender.

A person commits the crime of trafficking drugs in the first degree if, except as authorized by sections 195.005 to 195.425, he distributes, delivers, manufactures, produces or attempts to distribute, deliver, manufacture or produce more than thirty grams of a mixture or substance containing a detectable amount of heroin.

Federal Sanctions (The United States Code prohibits the following acts):

Illicit Drug Offenses

Simple Possession. It is illegal for any person to knowingly or intentionally possess a controlled substance, unless such substance was obtained directly or pursuant to a valid prescription or order from a licensed health care giver. 21 U.S.C. § 844

Violations of this section are punishable by imprisonment for up to 1 year, a minimum fine of $5,000.00, or both. After a prior conviction(s), the sentence shall be a term of imprisonment of not more than 2 years, a fine of not more than $10,000.00, or both.

Civil penalties up to $10,000.00 per violation may be assessed against any individual who knowingly possesses a controlled substance as listed in Section 401 (B) (1) (A) of the Controlled Substance Act, where the amount in possession is determined to be a personal use amount. 21 U.S.C. § 844

Where a person at least 18 years of age distributes controlled substance to any person under 21 years of age, or where a person possesses with the intent to distribute, intent to distribute, or manufactures a controlled substance in, on, or within 1000 feet of a playground, youth center, public swimming pool, or video arcade facility, the punishment shall be a term of imprisonment of twice the amount of time and a fine of twice the amount above provided. 21 U.S.C. § 860

Any person convicted of a drug offense under these federal laws shall forfeit to the government any property derived from or obtained directly or indirectly as a result of the violation. 21 U.S.C. § 853

Any person who is convicted of any federal or state offense consisting of the distribution of controlled substances may be ineligible for any and all federal benefits for a minimum of 1 year. 21 U.S.C. § 862 (Federal Benefits includes federal grants or loans.)

School Safety and Security Information and Crime Statistics

Sex Offender Registration and Community Notification

Under provisions of the Jacob Wetterling Crimes Against Children and Sexually Violent Offender Registration Act (Wetterling Act), any person who is required to register under a state sex offender registration program must notify the state when he or she enrolls at an institution of higher education or is employed at such an institution, and must notify the state of any change in enrollment or employment at an institution of higher education.  Sex offender registration information is to be transmitted from each state to the law enforcement entities where the registered sex offenders reside.  In Missouri, the sex offender list is maintained at the county level.

Sexual Harassment Policy

Cox College is committed to creating and maintaining an atmosphere in which all individuals can work and learn free of all forms of harassment, exploitation or intimidation.  Cox College will not tolerate harassment of students or employees by anyone.  Harassment consists of unwelcome conduct, whether verbal, physical or visual, that is based on a person’s protected status such as sex, color, race, ancestry, religion, national origin, age, physical disability, medical condition, veteran status, citizenship status or other protected group status.  Cox College will not tolerate harassing conduct that creates an intimidating, hostile or offensive environment.

Sexual harassment as defined by the Equal Employment Opportunity Commission:

“Unwelcome sexual advances, requests for sexual favors and other verbal or physical conduct of a sexual nature constitute sexual harassment when:

  1. Submission to such conduct is made either explicitly or implicitly a term or condition of an individual’s employment or academic standing and
  2. Submission to or rejection of such conduct by an individual is used as a basis for academic or personal decisions affecting such an individual, or
  3. Such conduct has the purpose or effect of unreasonably interfering with an individual’s work performance or creating an intimidating, hostile, or offensive work or learning environment.   Sexual harassment may include explicit sexual propositions, sexual innuendo, gender-specific traits, foul or obscene language or gestures, display of foul or obscene printed or visual material, and physical contact such as patting, pinching or brushing against another’s body.”

 

Harassment, especially sexual harassment is a violation of Title VII of the Civil Rights Act of l964 and of Title IX of the Education Act Amendments of l972.  Cox College will not tolerate, condone or subject anyone to any form of harassment.  In addition to being illegal, any form of harassment violates the dignity of the individual and the integrity of the college as an institution of learning.

Harassment includes behavior which is personally offensive and which interferes with the working or learning effectiveness of individuals.  Such behavior may include:

  • Sexually oriented verbal kidding or abuse.
  • Subtle pressure for sexual activity.
  • Sexual flirtations, touching, advances, propositions or blocking normal movement.
    • Verbal conduct such as epithets, derogatory comments, slurs, or unwanted sexual advances, invitations or comments.
    • Visual, graphic, or suggestive comments about an individual’s dress or physical appearance, derogatory posters, cartoons, drawings or display in the college environment of sexually suggestive objects or pictures, including nude photographs.
  • Using degrading words sexual or otherwise to describe an individual.
  • Retaliation for having resisted or reported any alleged harassment.

Any employee or student who believes that the actions or words of another individual constitute harassment as defined above has the responsibility to first express their perception of harassment to that individual and ask that the behavior stop.

If this fails or if the individual does not feel that they can safely or effectively confront the individual, they should immediately make a verbal and written complaint of the behavior to the Director of Student Support, the college security officer or a faculty advisor.

All complaints of harassment will be investigated promptly, in an impartial manner and as confidentially as possible.  The investigation will be conducted by personnel not involved in the alleged harassment.

Upon completion of an investigation, determination will be made regarding the resolution of the complaint.  The college will take whatever action is needed to prevent, stop, correct or discipline behavior that violates this policy.  Disciplinary action may include but is not limited to oral or written warnings or dismissal for students and employees.

If an individual is not satisfied with the handling of the complaint or the action taken by the college, he/she can file a complaint by following the Complaint Resolution Procedure. Health Disclosures

Health Insurance Portability and Accountability Act of 1996 (HIPAA)

The federal government published the standards for privacy of individually identified health information on December 28, 2000. These standards are also known as the HIPAA privacy rule. The rule establishes standards for information disclosure – including what constitutes a valid authorization. Below is an overview of this information for future reference. As of April 14, 2003, each hospital will need to comply with the new HIPAA rules.

The central HIPAA rule (Section 164.508) pertaining to the release of health information states that a valid authorization for the release of patient information must be in plain language and contain the following elements:

  • a specific and meaningful description of the information to be disclosed
  • the name of the covered entity (hospital) or individual authorized to make the disclosure
  • the name of the covered entity or person to whom the hospital or individual can make the disclosure
  • an expiration date or event that relates to the individual or the purpose of the use or disclosure
  • a statement of the individual’s right to revoke the authorization in writing
  • a statement about the exceptions to the right to revoke
  • a description of how the individual may revoke the authorization
  • a statement that information used or disclosed pursuant to the authorization may be subject to re-disclosure by the recipient and no longer be protected by the rule
  • signature of the individual
  • the date
  • if the authorization is signed by a personal representative of the individual, a description of such representative’s authority to act for the individual.

The authorization for release of information is not valid, according to the privacy rule, if the authorization has any of the following defects:

  • the expiration date or event has passed
  • the authorization has not been filled out completely with respect to the required content listed above
  • the authorization is known by the covered entity to have been revoked
  • the authorization is a prohibited type of compound authorization (must not be combined with any other document or request)
  • any material information in the authorization is known by the hospital to be false.

Immunizations

The following proof of immunizations  requirements must be completed before beginning courses in any of the nursing programs:

  • Initiation, completion or lab confirmation of Hepatitis B immunization or immunity
  • Current documentation of TB screen
  • Current Tdap (written documentation of 1 dosage of adult pertussis vaccination)
  • Current measles, mumps and rubella (MMR) immunization status or proof of immunity through titer
  • Current tetanus/diphtheria immunization status (booster required every 10 years)
  • Current varicella immunization status (reliable history, serological evidence or immunization series complete)
  • Completion of health form

Federal Financial Aid Programs available at Cox College

Federal Pell Grant

A federally funded grant program.  Eligibility is determined on the basis of financial need. Eligible students may receive up to $5,550 per year depending on need, hours enrolled and federal funding of the program.

Federal Supplemental Educational Opportunity Grant (SEOG)

These federally funded grants are awarded to Pell Grant eligible students with the lowest Estimated Family Contribution demonstrating exceptionally high financial need.  Priority in awarding is given to students who have been accepted for admission and whose financial aid application results have been received by April 1.  Eligible students may receive up to $800 per year.

Federal Stafford Loan

The William D. Ford Federal Direct LoanProgram (formerly Stafford Loan) is the largest federal student loan program.  Under this program, the U.S. Department of Education is your lender.  All students who file a FAFSA application will be considered for a Direct Loan.

There are four types of Direct Loans available:

  • Direct Subsidized Loans are loans made to eligible undergraduate students who demonstrate financial need to help cover the costs of higher education.  The interest does not accrue while the student is enrolled at least half-time in college because it is paid by the Federal government.
  • Direct Unsubsidized Loans are loans made to eligible undergraduate and graduate students, but in this case, the student does not have to demonstrate financial need to be eligible for the loan.  The interest begins to accrue upon receipt of the loan at 6.80%.
  • Direct PLUS Loans are loans made to graduate students and parents of dependent undergraduate students to help pay for education expenses not covered by other financial aid.  The U.S. Department of Education is the lender and the borrower must not have adverse credit history.  Loans have a fixed interest rate of 7.9%.  The maximum loan amount is the student’s cost of attendance minus any other financial aid received.
  • Direct Consolidation Loans allow you to combine all of your eligible federal student loans into a single loan with a single loan servicer.

 

After you graduate, leave school, or drop below half-time enrollment, you will have a six-month grace period before you are required to begin loan repayment.

Access Missouri Financial Assistance Program

This is a need-based program.  Award amounts are based on your EFC and the type of school you are attending when you receive the award.  If you transfer to a different school, your award amount may change based on the type of school to which you transfer.

  • U.S. citizen or permanent resident and a Missouri resident attending a participating Missouri college or university
  • Enrolled full-time (12 credit hours)
  • File the FAFSA by April 1 with a calculated EFC of $12,000 or less

Financial Aid Satisfactory Academic Progress

Satisfactory Academic Progress

Federal regulations require that in order to receive financial aid, students must meet satisfactory academic progress (SAP) standards that ensure program completion in a timely manner.  A minimum semester GPA of 2.0 on a 4.0 scale must be maintained.  Academic progress is evaluated after the spring semester of each academic year.  Students falling below this standard will be denied financial aid.

Quantitative Progress Standards

At the end of each semester, the student must complete 67% of the total credit hours for which he/she was enrolled.  Grades of Failing ―F‖, Incomplete ―I‖, Audit ―AU‖, Withdraw ―W‖, Withdraw Failing ―WF‖ or Withdraw Passing ―WP‖ will not be computed in the number of hours completed.  Students failing to meet this quantitative academic progress standard will be required to complete the student appeal process.

Students may receive financial aid for a maximum of 150% of the credit hours required to complete their program or until a degree is acquired, whichever occurs first. The total number of credit hours allowed includes courses for which credit is transferred from other institutions.

Student Financial Aid Appeal and Reinstatement Process

Students who fail to meet the satisfactory academic progress standards are ineligible to receive financial aid. Students who have been denied financial aid for failing to meet satisfactory academic progress standards have the right to appeal his/her situation to the Financial Aid Appeals Committee. Situations that may warrant an appeal are injury or illness to the student, the death of a relative, or other special circumstances. See the Student Handbook.

Automatic Termination of Financial Aid

The following situations may necessitate the automatic and immediate termination of financial aid eligibility:

  • Withdrawal/dismissal from Cox College
  • Withdrawing below half-time status except for the “less than half-time”‖ Pell Grant
  • Default on a federally funded student loan or a Cox College emergency loan or failure to repay a grant overpayment or other financial obligation to Cox College
  • Failure to meet satisfactory academic progress standards

Financial Arrangements

Students are expected to have made necessary financial arrangements prior to the start of the semester/term or session. By the first day of each semester/term or session, students should have: (1) enough financial assistance to cover their entire account balance (pending aid); (2) enroll in the Automatic Payment Plan during the scheduled enrollment period; or (3) pay the required tuition and fees in full with personal funds. Failure to do so will result in a hold being placed on the student’s account until the account is paid in full.

Cox College works in cooperation with Nelnet Business Solutions to offer an interest-free monthly payment plan to our students. Students who prefer to make monthly payments can sign up with Nelnet Business Solutions for the Automatic Payment Plan during the scheduled enrollment period. Financial Obligation Policy

Students are not entitled to register for upcoming semesters/terms or sessions, receive recommendations, degrees, honors, certificates, or official transcripts until all financial obligations to the college are fulfilled. In the event of default in the payment of any amount due, the account is turned over to an agency or attorney for professional collection or legal action. The student will be liable for all legal and collection fees that may be incurred on the outstanding balance.

Student Loan Forgiveness Opportunities

The purpose of the CoxHealth Loan Forgiveness Program is to establish a mutually beneficial program that assures CoxHealth of an adequate supply of graduate RNs and allied health professionals, and that encourages health care careers by providing financial support to students of RN and select, approved allied health programs.

CoxHealth will provide up to $5,000 per year to a maximum of $10,000 in loan forgiveness for educational expenses for RN and allied health students for the two final years of their educational program.

If selected to participate in the program, students must commit to working 2080 hours for each $2,500 received following completion of their educational program. CoxHealth will determine the number of opportunities available for the program based on projected staffing needs.

Drops and Withdrawals refund policy

Refund for withdrawal from a course or from Cox College

A verbal intent to withdraw from a course or the college is considered unofficial and insufficient. Failure to attend classes does not constitute a schedule change or withdrawal and does not entitle the student to a refund.

If a student wishes to withdraw from the college, he or she must obtain and complete an official Student Withdrawal form.  The form must be fully completed and turned in to the Registration Office.  The date the Registration Office receives the completed withdrawal form is the date used to calculate the amount of refund, if applicable.

If a student wishes to withdraw from a course, he or she must obtain and fill out an official Change of Schedule form with their faculty or general education advisor.  The date the Registration Office receives the completed change of schedule form is the date used to calculate the amount of refund, if applicable.

Financial Aid Withdrawal and Refund Policy

Changes in enrollment

Students may be billed for a portion or all of their financial aid if they drop credit hours or are not at the minimum credit level required for aid eligibility, which was returned to the department of education as required by law. If a student will be attending as a part-time student or is considering dropping a class, it is important to discuss it with the financial aid office.

Withdrawal from Cox College

If a student receiving financial aid withdraws from the college, the student may be required to repay a portion of the financial aid received for the semester in which the withdrawal occurs. The Financial Services Office will perform a withdrawal calculation.

If a student withdraws from the college, the student may be billed for a portion or all of the financial aid received. The bill calculated because of withdrawal will depend on the effective date of withdrawal, the percentage and amount of institutional refund, and/or the last date of class attendance. Students may also turn the forms into the Academic Resource Center, and the personnel will turn the forms into the County Clerk’s office.
